TERMS & CONDITIONS

These Terms form part of your booking contract with Route GT Ltd. Please read them carefully together with the tour description, booking confirmation, pre-contract information and any other documents supplied for your booking.

Important

These Terms set out the booking, payment, cancellation, participation and conduct rules that apply to Route GT tours. Nothing in these Terms excludes or restricts any rights or remedies that cannot lawfully be excluded or restricted.

1. About These Terms

1.1 Who You Are Booking With

Your contract is with Route GT Ltd, registered in the United Kingdom under company number 15059845, with its registered office at Bosworth House, Reading, RG30 1DU (“Route GT”, “we”, “us” or “our”).

1.2 What Forms Your Contract

Your contract consists of these Terms together with the applicable tour page or itinerary, the booking confirmation, the price and inclusions confirmed to you, any booking information supplied to you, and any written amendments agreed by Route GT.

If there is a conflict between these Terms and a mandatory right given to you by law, the mandatory legal right will prevail.

1.3 Tour-Specific Information

The exact services included in your booking are those stated in your tour description and booking confirmation. Items not expressly included are excluded from the tour price. You should check your confirmation carefully and notify us promptly if any information is incorrect.

2. Tour Format and Participation

2.1 Not A Race Or Time Trial

Route GT driving tours are not races, competitions or time trials. Participants must not race, compete with, pace, obstruct or intimidate other participants or road users. Dangerous or competitive driving is prohibited and may result in removal from the tour without further participation.

2.2 Navigation And Driving Responsibility

Route GT may provide suggested routes, route information, regrouping points and navigational materials. Unless expressly stated otherwise, participants remain responsible for choosing and following their own route, complying with road laws and deciding whether conditions are safe for them to continue.

2.3 Safety Instructions

Route GT may issue reasonable safety-related or operational instructions, including hazard warnings, regrouping instructions, itinerary adjustments or temporary diversions. Participants are expected to follow reasonable instructions intended to protect guests, staff, suppliers or the public. Serious or repeated non-compliance may result in removal from the tour.

2.4 Age Requirements

All participants must be at least 18 years old on the first day of the tour unless Route GT has expressly agreed otherwise in writing.

3. Booking and Lead Traveller

3.1 When A Booking Becomes Binding

A booking request is not accepted until Route GT issues written booking confirmation. Once confirmation is issued, a binding contract is formed subject to these Terms and the information supplied for that booking.

3.2 Lead Traveller

The person making the booking is the lead traveller. The lead traveller must be at least 18 years old, is responsible for providing accurate booking information, and is the principal contact for the booking.

3.3 Authority To Book For Others

By booking on behalf of another person, the lead traveller confirms that they have authority to provide that person’s booking information and to communicate these Terms and relevant tour information to them. Each traveller remains responsible for complying with obligations that apply personally to them.

3.4 Accuracy Of Information

You must ensure that names, contact details, vehicle details, room requirements and other information supplied to us are accurate. Please notify us promptly if anything changes. Supplier charges arising from customer-requested changes may be passed on where permitted by law.

4. Price, Deposit and Payment

4.1 Price And Inclusions

The total price and the services included are shown in your booking documentation. Personal expenditure and services not expressly included remain your responsibility, which may include fuel, tolls, parking, fines, vehicle repairs, optional food or drink, incidental hotel charges and other personal purchases.

4.2 Deposit and Initial Financial Commitments

A deposit is payable to secure your place on a Route GT tour. The deposit amount will be shown at the time of booking or on your booking confirmation.

The deposit is non-refundable if you cancel your booking, except where a refund is required by applicable law or where these Terms expressly state that Route GT will refund amounts paid.

Route GT begins planning and makes financial commitments as soon as a booking is confirmed. This can include reserving accommodation, securing room allocations, booking ferries or other crossings, paying venue and restaurant deposits, committing to event suppliers, ordering participant-specific materials, incurring payment-processing costs, and carrying out administration and operational planning connected with your place on the tour.

Many of these costs and commitments are incurred well before the tour takes place and may be non-refundable or only partly recoverable by Route GT if you later cancel. The deposit is therefore retained to contribute towards those initial costs, commitments and the loss associated with holding a place that may not subsequently be resold.

If the permitted non-recoverable costs directly attributable to your booking exceed the amount of your deposit, Route GT may also deduct those additional non-recoverable costs from any refund otherwise due under section 6, together with any applicable cancellation or administration charge. Route GT will not recover the same cost twice.

Examples of permitted non-recoverable costs may include supplier deposits, accommodation or room-allocation commitments, ferry or transport reservation charges, venue and restaurant deposits, supplier cancellation charges, participant-specific goods or printed materials, and other costs that Route GT has already committed to and cannot reasonably recover following your cancellation.

4.3 Balance Payments

The balance must be paid by the deadline shown in your booking confirmation, normally around 90 days before departure. If payment is not received by the due date, Route GT may contact you and, after giving reasonable notice, treat the booking as cancelled by you. The deposit and any applicable cancellation charges or permitted non-recoverable costs may then be retained in accordance with these Terms.

4.4 Price Changes After Booking

Once Route GT has confirmed your booking, the confirmed tour price will not ordinarily change unless you request an amendment, the booking information you supplied was incorrect, or a change is otherwise permitted by applicable law.

If a customer-requested amendment causes additional hotel, transport, supplier or administration costs, those additional costs will be payable by the customer before the amendment is confirmed.

If an obvious pricing error is identified before Route GT accepts the booking, Route GT may correct the price before confirmation. If an error is identified after confirmation, we will contact you and deal with the matter reasonably and in accordance with applicable law.

4.5 Administration Charges

Customer-requested amendments may incur a reasonable administration charge plus any actual supplier costs. We will not charge more than is permitted by applicable law. Tour-specific charges, where applicable, will be disclosed before the amendment is confirmed.

4.6 FINANCIAL PROTECTION

Route GT is a member of Protected Trust Services (PTS) and uses the PTS trust-account structure to help protect customer payments.

PTS Membership Number: 6574

Under this arrangement, protected customer payments are handled through the applicable PTS trust-account structure rather than simply becoming unrestricted Route GT operating funds.

Where your booking qualifies as a package under the Package Travel and Linked Travel Arrangements Regulations 2018, you will benefit from the rights and financial protection provided by those Regulations, including applicable insolvency protection.

5. Transfers and Name Changes

5.1 Transfer To Another Participant

Subject to availability and Route GT approval, you may request to transfer your booking to another person who satisfies the requirements of the tour. Transfer requests made more than 90 days before the tour start date will normally be considered, although a transfer cannot be guaranteed until confirmed in writing by Route GT.

Transfer requests made within 90 days of the tour start date are not guaranteed because accommodation, crossings, guest details, suppliers and other arrangements may already have been committed or finalised.

5.2 Transfer Costs

The original participant remains responsible for the booking until Route GT confirms the transfer in writing. Any outstanding balance, supplier charges, administration costs or other costs caused by the transfer must be paid before the transfer is completed.

5.3 Other Amendments

Changes to vehicle details, room requirements, participant details, dietary preferences or other booking information are subject to availability and may result in supplier or administration charges. We will confirm known additional charges before making the change where reasonably possible.

6. If You Cancel

6.1 How To Cancel

You may cancel your booking at any time before the tour begins by notifying Route GT in writing. Cancellation takes effect when we receive your notice.

6.2 Standard Cancellation Charges

If you cancel, Route GT may retain the deposit and apply a cancellation charge reflecting the timing of cancellation, the costs already committed to your booking, any permitted non-recoverable supplier costs, the work already carried out, and the likelihood of the place being resold.

Unless your booking confirmation states a different tour-specific scale, the following standard cancellation terms apply:

  • More than 90 days before the tour starts: the balance paid will normally be refunded less the non-refundable deposit, a £75 administration charge, and any permitted non-recoverable costs not already covered by the deposit.
  • 60–89 days before the tour starts: up to 50% of the total tour price may be retained, together with any permitted non-recoverable costs where those costs are not already reflected in the cancellation charge.
  • 30–59 days before the tour starts: up to 75% of the total tour price may be retained, together with any permitted non-recoverable costs where those costs are not already reflected in the cancellation charge.
  • Less than 30 days before the tour starts: up to 100% of the total tour price may be retained.

Route GT will not charge twice for the same loss or cost. Where appropriate, we may take account of amounts recovered from suppliers or the successful resale of your place when calculating the final cancellation amount.

Because supplier commitments vary between tours, Route GT may apply a different cancellation scale where this is clearly stated before booking or on your booking confirmation.

6.3 Events Outside Your Control

If you choose to cancel because of personal circumstances, weather concerns, travel disruption or another event outside your control, the standard cancellation terms above will normally apply.

Where exceptional circumstances arise, Route GT may consider a transfer, booking credit or other alternative at its discretion where supplier commitments and operational circumstances allow. This does not affect any rights you may have under applicable law.

6.4 Refund Timing

Any refund due following a customer cancellation will normally be processed within 14 working days after the cancellation amount has been confirmed, subject to any outstanding supplier calculations or amounts that must first be recovered or reconciled.

6.5 No-Show Or Voluntary Withdrawal

If you fail to attend, arrive too late to participate, or voluntarily withdraw before or during the tour, unused services will not normally be refundable. Any costs of rejoining the tour, alternative accommodation, transport or onward travel will be your responsibility unless Route GT expressly agrees otherwise.

7. If We Change Or Cancel Your Tour

7.1 Minor Changes

Travel arrangements can change. Route GT may make reasonable minor changes to routes, timings, hotels, venues, restaurants, crossings or other arrangements where operationally necessary, provided the overall character and standard of the tour are not materially reduced. We will tell you about relevant changes as soon as reasonably possible.

7.2 Significant Changes Before Departure

If Route GT needs to make a significant change before departure, we will notify you as soon as reasonably possible. Depending on the nature of the change, we may offer you the revised arrangements, a suitable alternative, a transfer to another Route GT tour, or cancellation with any refund due under applicable law and these Terms.

7.3 Minimum Numbers

Some tours require a minimum number of bookings to operate. Where a minimum applies, it will be stated in the tour or booking information where appropriate. If minimum numbers are not reached, Route GT may cancel or reschedule the tour and will contact affected customers as soon as reasonably possible.

7.4 Cancellation By Route GT

If Route GT cancels a tour for operational reasons within its control, customers will normally be offered a transfer to another Route GT tour, a booking credit, or a refund of amounts paid for the cancelled tour.

If Route GT is unable to operate a tour because of circumstances outside its reasonable control, we will contact customers as soon as reasonably possible and deal with refunds, credits, transfers and any non-recoverable supplier commitments in accordance with applicable law and the circumstances of the cancellation.

7.5 Weather, Road Closures And Other Extraordinary Events

Route GT tours may operate in changing weather and road conditions. We may alter suggested routes, timings, crossings, venues or itinerary details where necessary for safety or because roads or suppliers are unavailable.

A route or itinerary change caused by weather, road closures, traffic, ferry disruption, local restrictions or similar circumstances does not automatically amount to cancellation of the tour. Route GT will make reasonable efforts to provide a suitable alternative arrangement where practicable.

8. Force Majeure / Events Beyond Our Control

8.1 What This Means

Route GT will not be responsible for a failure or delay in performing an obligation where that failure or delay is caused by an event or circumstance beyond our reasonable control and which we could not reasonably have avoided or overcome.

Such events may include, for example, severe weather, flooding, wildfire, natural disaster, epidemic or pandemic, war, threatened war, terrorism, civil unrest, government action or restrictions, border closures, industrial disputes, significant transport disruption, widespread utility or communications failure, road closures, or other comparable events outside Route GT’s reasonable control.

8.2 Changes To A Tour

If an event beyond our reasonable control affects a tour, Route GT may make reasonable changes to the route, timings, accommodation, activities, transport arrangements or other parts of the itinerary where necessary for safety, practicality or continued performance of the tour.

Where reasonably practicable, we will tell you about material changes as soon as we can and will take reasonable steps to minimise the effect on the tour.

8.3 Delay, Suspension Or Cancellation

Where an event beyond our reasonable control makes it impossible, unsafe or impracticable to continue or provide a material part of the tour, Route GT may delay, suspend, curtail or cancel the affected arrangements.

Any refund, credit or other remedy will be dealt with under these Terms and applicable law. Where permitted by law, Route GT may take account of permitted non-recoverable costs already paid or committed to suppliers in calculating any refund otherwise due. Route GT will not recover the same cost more than once.

8.4 Additional Losses And Insurance

To the extent permitted by law, Route GT is not responsible for additional losses, expenses or consequential costs arising solely from an event beyond our reasonable control, including additional travel, accommodation, vehicle recovery or other personal expenses, except where Route GT is legally responsible for them.

We strongly recommend that you maintain suitable travel insurance which provides appropriate cover for disruption, cancellation and other risks relevant to your booking.

9. Performance Of Included Tour Services

9.1 Route GT's Responsibility For Included Services

Route GT arranges and coordinates the services expressly included in your confirmed tour. Some services are provided by independent hotels, ferry operators, restaurants, venues and other suppliers. Route GT will use reasonable care and skill in arranging and coordinating those services and in dealing with issues brought to our attention.

9.2 Problems During The Tour

If an included service is not being provided as expected, please tell Route GT as soon as possible so that we have a reasonable opportunity to investigate the issue and, where practicable, put it right during the tour.

9.3 Alternative Arrangements

If an included hotel, venue, crossing, restaurant or other service becomes unavailable, Route GT may substitute a reasonable alternative where practicable. We will consider the nature, quality and value of the original service when selecting an alternative.

9.4 Service Issues And Refunds

If an included service cannot be supplied or is materially different from what was confirmed, any refund, credit or other remedy will be considered having regard to the affected service, the alternative provided, the amount actually paid for that part of the tour, supplier recoveries and applicable law.

9.5 Assistance During The Tour

Where reasonably practicable, Route GT will provide practical assistance to a participant who encounters difficulty during the tour, including helping with supplier communication, route changes or information about alternative arrangements.

If the difficulty arises from the participant’s own actions, vehicle failure, late arrival or other personal circumstances, any additional third-party costs remain the participant’s responsibility.

10. Travel, Insurance and Vehicles

10.1 Driving Licence And Legal Requirements

Every driver must hold a valid full driving licence and any permit required for the places visited. Travellers are responsible for complying with passport, visa, customs and entry requirements applicable to them.

10.2 Vehicle Requirements

Participants are responsible for ensuring that their vehicle is roadworthy, legally permitted for use, appropriately taxed or registered, insured and maintained, and complies with the laws of every jurisdiction through which they drive.

Route GT does not carry out mechanical inspections and does not accept responsibility for a participant’s failure to maintain or legally operate their own vehicle.

10.3 Motor Insurance

Drivers must have valid motor insurance that covers their vehicle, drivers and intended use for all relevant locations. It is the participant’s responsibility to check with their insurer whether participation in the tour affects cover.

10.4 Travel Insurance

We strongly recommend comprehensive travel insurance appropriate to your circumstances and the tour, including cancellation, medical expenses, personal possessions, travel disruption and repatriation where relevant. Any compulsory or optional insurance information applicable to a particular tour will be disclosed before booking.

10.5 Breakdown And Recovery

Participants should arrange breakdown and recovery cover suitable for every location included in the tour. Unless expressly included in your booking, Route GT does not provide vehicle recovery, repairs or replacement transport following a participant’s vehicle breakdown.

10.6 Documents

You may be asked to provide or confirm relevant driving, vehicle, travel or insurance documentation. Any checks carried out by Route GT do not transfer responsibility for maintaining valid documents away from the participant.

11. Accommodation and Logistics

11.1 Accommodation

Where accommodation is included, the hotels, number of nights and main features will be described in the tour information or booking documentation. Room preferences and special requests will be passed to suppliers where appropriate but are not guaranteed unless expressly confirmed as part of the contract.

11.2 Supplier Changes

If an accommodation or other supplier becomes unavailable, Route GT may substitute a suitable alternative. Where the change is significant or the replacement is of lower quality, the rights in sections 7 and 8 will apply where required by law.

11.3 Incidental Charges

Guests remain responsible for personal or incidental charges not included in the tour price, including minibar, room service, damage deposits, parking and similar personal expenditure.

11.4 Ferry, Rail Or Other Crossings

Where a ferry, rail crossing or other transport service is included in your booking, participants must comply with the operator’s reasonable check-in and carriage requirements. Please allow sufficient time to arrive at the notified departure point.

11.5 Delays And Disruption

If disruption affects an included service, Route GT will make reasonable efforts to adjust the itinerary or provide practical alternatives where possible. Costs caused solely by a participant’s late arrival, vehicle problem or other personal circumstance may remain the participant’s responsibility, subject to applicable law.

12. Conduct, Equipment and Branding

12.1 Responsible Behaviour

Participants must behave responsibly and respectfully toward other guests, Route GT staff, suppliers, local communities and members of the public. Serious misconduct, abuse, unlawful behaviour or conduct creating a material safety risk may result in removal from the tour.

12.2 Alcohol And Drugs

No participant may drive while impaired by alcohol, illegal drugs or any substance that makes them unfit to drive. Participants are responsible for complying with applicable laws and medical advice.

12.3 Removal From A Tour

Where Route GT reasonably removes a participant because of serious misconduct, unlawful conduct or a material safety risk caused by that participant, Route GT is not required to provide services that cannot safely or lawfully continue. Any financial consequences will be determined fairly having regard to applicable law and costs actually incurred.

12.4 Loan Equipment

Radios, satnav units, lanyards or other equipment loaned by Route GT remain Route GT property. Participants must use equipment responsibly, comply with applicable laws and return it in the condition in which it was supplied, allowing for reasonable wear and tear.

Reasonable repair or replacement costs may be charged for equipment that is lost, deliberately damaged or not returned. Return instructions will be provided by Route GT.

12.5 Vehicle Branding

Where event stickers or rally plates are supplied, participants must follow the placement and use instructions provided. Participants remain responsible for deciding whether application is suitable for their vehicle finish and for removal after the event unless otherwise agreed.

13. Health, Accessibility and Special Requirements

13.1 Fitness To Participate

Participants are responsible for deciding whether they are fit to drive and participate safely. If you have a requirement that may affect your participation or the suitability of a tour, please tell us before booking or as soon as reasonably possible so we can discuss available options.

13.2 Reduced Mobility And Accessibility

Information about the general suitability of a tour for persons with reduced mobility will be provided where applicable. If you have specific accessibility requirements, please contact Route GT before booking so we can provide more precise information and determine whether reasonable arrangements can be made.

13.3 Dietary Requirements And Allergies

Please tell Route GT of any dietary requirements, allergies or intolerances relevant to included meals. We may pass this information to the relevant hotel, restaurant or other venue where necessary.

Food is prepared by third-party venues and Route GT cannot guarantee an allergen-free environment. Menus, ingredients and preparation methods may change, so guests remain responsible for confirming their requirements directly with each venue and checking the suitability of all meals before eating.

Guests with severe allergies should take appropriate personal precautions and speak directly with the venue where necessary.

13.4 Medical And Health Information

Route GT will only request health or medical information where it is relevant to the safe or appropriate delivery of the tour. Health information is sensitive personal data and will be handled in accordance with our Privacy Policy and applicable data-protection law. Where a particular legal basis or explicit consent is required, this will be addressed separately from general acceptance of these Terms.

13.5 Emergencies

In an emergency, Route GT may contact emergency services, your nominated emergency contact or relevant suppliers and may take reasonable practical steps to assist. This does not make Route GT a medical provider and participants remain responsible for personal medical and insurance costs except where applicable law provides otherwise.

14. Privacy, Images and Intellectual Property

14.1 Personal Data

Route GT processes personal information for booking administration, supplier coordination, safety, customer service, legal compliance and other purposes described in our Privacy Policy. The Privacy Policy explains the lawful bases, retention periods, sharing arrangements and rights that apply.

14.2 Photography And Filming

Photography and filming may take place during Route GT events. How identifiable images and recordings are used will be governed by our Privacy Policy and applicable law. Where consent is legally required for a particular use, we will obtain it separately rather than relying solely on acceptance of these Terms.

14.3 Route GT Materials

Route GT retains all intellectual property rights in its branding, written materials, original photography, route books, graphics, GPX files, itinerary content and other proprietary materials. Participants may use materials supplied for their own participation but must not reproduce, publish, sell, distribute or commercially exploit them without written permission.

14.4 No Restriction On Lawful Competition

Nothing in these Terms prevents a person from lawfully operating or participating in another driving event. However, Route GT’s protected branding, copyrighted materials, confidential materials and other intellectual property must not be copied or misused.

15. Complaints, Liability and Law

15.1 Problems During Your Tour

If you experience a problem with an included service, please notify Route GT without undue delay and, where appropriate, also tell the relevant supplier. This gives us an opportunity to investigate and remedy the issue while you are travelling.

15.2 Complaints After The Tour

If an issue is not resolved during the tour, please submit your complaint in writing through our Contact page as soon as reasonably possible, giving your booking details and a clear description of the issue. We will investigate and respond as soon as reasonably practicable.

15.3 Our Liability

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence where such liability cannot lawfully be excluded, or liability for fraud or fraudulent misrepresentation.

Where Route GT is legally responsible for loss, any liability will be assessed in accordance with applicable law and the circumstances giving rise to the claim. Route GT is not responsible for losses caused solely by the participant, by an unrelated third party, or by events outside Route GT’s reasonable control except where applicable law provides otherwise.

15.4 Your Own Vehicle And Personal Conduct

Route GT is not responsible for loss or damage caused solely by a participant’s own driving, unlawful conduct, failure to maintain their vehicle, failure to follow road laws or breach of these Terms, except to the extent that Route GT is legally responsible for the same loss.

15.5 Liability Waiver

Route GT may require participants to sign a separate driving-tour acknowledgement or liability waiver. Any such document must be read together with these Terms and will not exclude rights or liabilities that cannot lawfully be excluded.

15.6 Consumer Rights

Your statutory consumer rights are not affected by these Terms. Services supplied to consumers remain subject to mandatory standards and remedies provided by applicable consumer law.

15.7 Governing Law And Jurisdiction

These Terms are governed by the law of England and Wales. If you are a consumer resident elsewhere in the United Kingdom, you retain any mandatory protections and rights to bring proceedings in the courts available to you under applicable law.

15.8 Severability

If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will continue to apply. Any invalid provision will be treated as modified only to the minimum extent necessary to make it valid where the law permits.
